Inviting a caregiver into your home means trusting us with private details about your life and your family. We take that seriously. This policy explains what personal information we collect, why we collect it, how we protect it, and the choices you have.
GoldLeaf Homecare Network (“GoldLeaf,” “we,” “us,” or “our”) is a licensed non-medical home care agency serving the Peninsula and South Bay areas of California. This policy applies to our clients, their family members and authorized representatives, people who inquire about our services, and visitors to our website. Information about job applicants, caregivers, and employees is handled separately under our employment and personnel policies.
1. What personal information we collect
From clients and their families
Contact and identity information — name, home address, phone numbers, email address, date of birth, and emergency contacts.
Care information — the care plan we build with you, tasks you want help with, mobility and daily-living needs, medication reminder schedules, dietary preferences and restrictions, physician and family contacts, and the notes caregivers record during shifts.
Household and scheduling details — home access instructions, pets, parking, preferred shift times, and who else lives in or visits the home.
Billing information — service agreements, hours worked and invoiced, payment method, and long-term care insurance policy details. Card and bank numbers are entered directly with our payment processor; we do not keep full card numbers in our files.
Communications — emails, text messages, voicemails, and notes from phone calls with you or your representatives.
How you found us — the referral source, so we can thank the people who send clients our way.
From website visitors and prospective clients
The name, phone number, email address, and message you enter in a contact or intake form.
Basic technical information your browser sends — IP address, browser type, and which pages you viewed.
We collect only what we need to provide safe care and run the agency responsibly. We do not ask clients for Social Security numbers or government ID numbers.
2. How the information is collected
Directly from you — your first phone call or email, the in-home assessment, intake paperwork, the service agreement, and ongoing conversations as care needs change.
From people you authorize — family members, a power of attorney or conservator, geriatric care managers, hospital discharge planners, or your physician’s office.
From our caregivers during service — shift notes and clock-in/clock-out records entered in our scheduling system.
Automatically from our website — form submissions, plus cookies and basic analytics as described in Section 7.
From referral partners — when a facility, case manager, or another professional refers you to us with your permission.
3. How we use your information
To provide, coordinate, and supervise care — building your care plan, matching you with the right caregiver, and keeping the plan current.
To schedule shifts, confirm visits, arrange coverage, and let you know about changes.
To respond to emergencies, safety concerns, or a change in condition.
To bill you, your family, or your long-term care insurer, and to process payments.
To meet our legal and licensing obligations as a California Home Care Organization, including caregiver registry and background check requirements, recordkeeping, tax, insurance, and workers’ compensation rules.
To improve our service — supervisory visits, caregiver training, and resolving complaints.
To stay in touch with service updates and occasional news about GoldLeaf. You can opt out of these at any time.
We do not sell your personal information. We do not rent, trade, or share it with third parties for their own marketing, and we never share mobile phone numbers or SMS consent with anyone for marketing purposes.
4. How your information is stored and protected
Electronic records are kept in password-protected, access-controlled systems, including the scheduling and billing software we use to run the agency. Those vendors are established providers with their own security safeguards.
Paper records are kept in locked storage at our office and are not left in vehicles or homes.
Access is limited to the people who need it. Caregivers see only the information required for their assignment — your care plan and schedule, not your billing or insurance file.
Our people are vetted and trained. Caregivers are background-checked and registered as required by California law, sign confidentiality agreements, and are trained on client privacy.
Devices and accounts used for GoldLeaf work are password-protected, and we use multi-factor authentication on our business accounts wherever it is offered.
Access ends when employment ends. We remove system access and collect agency property promptly when someone leaves.
No system is perfectly secure. If a breach affecting your personal information ever occurs, we will notify you and any required agencies as California law requires.
5. How long we keep your information
We keep information only as long as we need it for the purpose we collected it, or as long as the law requires — whichever is longer.
Client care and service records — at least seven years after services end, and longer if there is an open claim, dispute, or audit.
Billing and financial records — at least seven years, for tax and audit purposes.
Inquiries that do not become services — up to two years, in case you come back to us.
Text message consent and opt-out records — for as long as you are subscribed, and for a reasonable period afterward so we can honor your opt-out.
When we no longer need a record, we destroy it securely — paper is shredded, and electronic files are permanently deleted.
6. When we share information with third parties
We share your information only when it is needed to provide your care, when you ask us to, or when the law requires it. Specifically:
Your caregivers and our staff — the people assigned to your care and the office staff who schedule and supervise it.
Service providers under contract with us — scheduling and visit-verification software, billing and payment processors, IT support, our insurance broker, and our accountant or attorney. They are bound by confidentiality obligations and may use your information only to provide services to us.
Payers you authorize — a long-term care insurer, VA program, trustee, or family member responsible for payment.
Healthcare providers and care managers you authorize — so care is coordinated and consistent.
Government agencies and regulators — including the California Department of Social Services Home Care Services Bureau, licensing surveyors, workers’ compensation, and responses to subpoenas, court orders, or lawful requests.
Emergency responders — if there is an urgent risk to your health or safety.
Adult Protective Services — our caregivers and staff are mandated reporters and are required by California law to report suspected abuse or neglect of an elder or dependent adult.
A future owner — if GoldLeaf is ever sold or merged, client records would transfer to the new owner, and we would notify you.
Everyone in this list gets the minimum information necessary for the purpose at hand — not your whole file.
7. Cookies and tracking technologies
Our website uses a small number of cookies. Some are necessary to make the site work and to keep our contact form functioning. Others help us understand how visitors find us and which pages are useful, using a standard website analytics tool that reports totals and trends rather than identifying you personally.
We do not use cookies to build advertising profiles, and we do not sell website data to advertisers. You can block or delete cookies in your browser settings at any time; our site will still work, though some form features may not behave normally. Because there is still no common industry standard for “Do Not Track” browser signals, we do not currently respond to them. If we ever add advertising or retargeting technology, we will update this section first.
8. Seeing, correcting, or deleting your information
You, or someone you have authorized to act for you, can ask us to:
Tell you what personal information we have about you and where it came from.
Give you a copy of your care or service records.
Correct anything that is wrong or out of date.
Delete information we are not required to keep.
Stop sending marketing emails or text messages.
Email gm@goldleafhomecare.com or call [PHONE NUMBER]. We will confirm your identity — and, if you are asking on someone else’s behalf, your authority to do so — and respond within 30 days. There is no charge, and we will never treat you differently for asking.
Two honest limits: we cannot delete records we are legally required to keep, such as care and billing records within their retention period, and we cannot delete information we still need to provide care or settle an open account. If we have to keep something, we will tell you what it is and why.
9. Text messaging (SMS)
Texting is often the fastest way to reach families about a shift, so we use it — with your permission, and on your terms.
Message types
Appointment and assessment reminders, shift confirmations and schedule changes, caregiver arrival and coverage updates, care coordination follow-ups, replies from our office when you contact us for support, and billing or invoice notifications. Promotional or marketing texts are sent only to people who separately opt in to receive them.
Opting in
You consent to receive text messages from GoldLeaf by giving us your mobile number and checking the SMS consent box on our intake paperwork, service agreement, or website contact form; by texting us first; or by asking a member of our staff to text you, which we then note in your file. Consent to receive texts is never a condition of receiving our services or of any purchase.
Frequency
Message frequency may vary, depending on your care schedule and how often plans change.
Rates
Message and data rates may apply, according to your plan with your mobile carrier.
Opting out
Reply STOP to any message at any time. We will send one confirmation message and then stop texting that number. Opting out does not affect your care — we will simply reach you by phone or email instead.

Privacy of your number

Delivery
Mobile carriers are not liable for delayed or undelivered messages.

10. Children’s privacy
Our services are for adults, and our website is not directed to children. We do not knowingly collect personal information from anyone under 13. If a minor lives in a client’s household and their information appears in a care note, it is provided by the adult client or their representative and is treated with the same confidentiality as the rest of the record.
11. Changes to this policy
We may update this policy as our services, technology, or the law changes. The current version is always posted on our website with the effective date at the top. If we make a change that meaningfully affects how we handle your information, we will tell active clients directly by email or in writing.

1. Program description
GoldLeaf Homecare Network sends text messages to clients, their authorized family members, and prospective clients who have given consent. Messages include appointment and assessment reminders, shift confirmations and schedule changes, caregiver arrival and coverage updates, care coordination follow-ups, customer support replies, and billing or invoice notifications. Promotional messages about GoldLeaf services are sent only to people who have separately opted in to receive them.
2. How you opt in
You consent to receive text messages from GoldLeaf when you provide your mobile number and check the SMS consent box on our website contact form, intake paperwork, or service agreement; when you send us a text message first; or when you verbally ask our staff to text you and we record that request in your file. Consent is not a condition of purchasing any product or receiving any service from GoldLeaf. You must be the account holder for the number, or have the account holder’s permission, and be 18 or older to sign up.
3. Frequency, rates, and delivery
